Summarize this article with

An international admission file is checked by comparing the same facts across four sets of documents: identity (passport), academic record (transcripts and diploma), the offer or sponsor document, and proof of funds. A name spelled two ways, a transcript that ends before the diploma date, or a bank statement in someone else's name does not prove wrongdoing. It tells the admissions officer which question to put to the applicant before issuing an offer or a CAS.

This article is informational and is not legal or immigration advice. References are accurate as of November 2026 and apply to the United Kingdom unless stated otherwise. Consult a qualified professional for a specific situation.

The admission file: eight comparisons that matter

A typical file holds a passport, one or more transcripts, a diploma or degree certificate, an English test result, a bank statement and sometimes a sponsor letter. The table lists the field on each side, what a mismatch looks like, and the reviewer's next step.

Field on document A Compared with Mismatch looks like Reviewer's next step
Full name, passport Name on diploma and transcripts Different transliteration, a missing patronymic, a married name Ask for a name-change or transliteration letter; record which spelling goes on the CAS
Date of birth, passport Application form and diploma Day and month swapped; a year apart Correct to the passport only after the applicant confirms in writing
Institution and degree title, diploma Transcript header Different institution name, or a degree title the transcript does not mention Request the transcript directly from the institution
Award date, diploma Last term on the transcript Diploma dated before the final exams on the transcript Ask for the graduation or completion letter
Credits and grade scale, transcript Grade claimed on the application 2:1 claimed, transcript average maps to a lower band Compare using the comparability statement, not the applicant's own conversion
Qualification level, diploma UK ENIC statement, if supplied Statement covers a different award or a different name Treat the statement as unlinked to this applicant until reissued
Account holder, bank statement Applicant or named sponsor Holder is a third party with no stated relationship Ask for a sponsor letter and the sponsor's identity document
Balance and dates, bank statement Funds required for the course and the dates the rules ask for Balance drops below the required level inside the holding period Request a longer statement or an alternative sponsor

The first column is where a clerical slip and a deliberate change look identical, so the next step is always a question, not a decision.

Identity: the passport is the reference for names and dates

The passport is the reference document for the applicant's legal name and date of birth, and every other document is compared to it (see the UK government student visa page, which requires a place with a licensed student sponsor). Admissions teams that start from the passport avoid most downstream corrections on the CAS.

Three fields are compared first: surname and forenames, date of birth, and passport expiry against the course start date. Names are the usual friction point. A diploma from an institution that uses a different alphabet will carry a transliteration chosen by the registrar, not by the passport office. Our guide to cross-document consistency checks lists normalisation rules (hyphens, order of names, diacritics) that separate a format difference from a real mismatch.

Transcripts and diploma: do they describe the same award?

A transcript and a diploma are two documents from the same institution, so the institution name, programme, award date and the student's name must agree between them. Transcripts list modules, credits and grades; the diploma records the award. Only the pair together shows that the course was completed.

Compare these fields: institution name (including any renamed or merged institution), programme title, start and end dates, total credits against the credits required for the award, and the final result. Typical mismatches are a transcript that stops one term short of the diploma date, credits that do not add up to the stated total, and a grade scale on the transcript that differs from the one printed on the diploma.

A mismatch is not a verdict. Transcripts are often reissued with updated formatting, and translated copies can introduce errors. The reviewer asks the applicant for the original-language document and, for a degree, checks the institution against the registers described in our article on degree verification and official registers by country. The wider context, including forged enrolment and diploma documents, is covered in student identity verification and diploma fraud.

UK recognition: what a UK ENIC statement proves and what it does not

UK ENIC is the UK's national agency for recognising and comparing international qualifications, run by Ecctis on behalf of the UK government, and its Statement of Comparability places a qualification within the UK education system (UK ENIC). It answers the question "what level is this award in UK terms?"

For an admissions file, the statement is useful for three comparisons: the name on the statement against the passport, the award and awarding institution on the statement against the diploma, and the UK level against the entry requirement of the course. A statement for a bachelor's degree attached to a file whose diploma is a master's is a mismatch, whatever the statement says.

What it does not do: the page we reviewed does not describe the statement as a check of the individual certificate's authenticity, so we do not treat it as one. Authenticity questions go to the issuing institution or the relevant official register, separately.

CAS and the offer: one reference number, several fields to match

The Confirmation of Acceptance for Studies (CAS) shows the amount the student must pay for the course, and that amount feeds the funds calculation (GOV.UK, student visa money). The CAS is issued by the sponsor, so it should be built from the checked file, not the other way round.

Before issuing a CAS, compare the name, date of birth and passport number on the CAS against the passport, the course title and dates against the offer, and the fees on the CAS against the fee schedule the applicant was quoted. If the passport is renewed between offer and CAS, the new number is recorded once the applicant provides it, not inferred.

Proof of funds: account holder, balance and dates

GOV.UK states that funds must be held for at least 28 days in a row, and the 28-day period must end within 31 days of the application (GOV.UK, student visa money). The same page gives monthly maintenance figures of ยฃ1,529 in London and ยฃ1,171 outside London, for up to 9 months, plus the course fee shown on the CAS. Rates change, so always read the current page.

The bank statement comparisons are mechanical:

  • Account holder name against the applicant, or against a named sponsor with a stated relationship.
  • Opening balance, lowest balance and closing balance against the required total.
  • First and last statement date against the 28-day window and the planned application date.
  • Currency and conversion date, where the account is not in sterling.
  • Running balance against the listed transactions, so a typed total that does not follow the lines is flagged.

A single large deposit shortly before the window is a question, not a rejection; the reviewer asks for the source. A statement in a parent's name is common and acceptable if the sponsor documents are consistent.

What applicants ask, and the answers

Applicants on student forums ask the same things repeatedly. Do transcripts have to be in English? Does the name on the bank statement have to be mine? Is a screenshot of the balance enough? The practical answers: official translations accompany the original-language document, the account holder must be the applicant or a documented sponsor, and a screenshot cannot show the 28-day history, so a full statement is the safer evidence. For the exact evidence list, applicants should follow the current GOV.UK student visa guidance.

A review workflow for admissions teams

  1. Read the passport first and fix the legal name and date of birth.
  2. Compare transcripts and diploma against each other, then against the passport.
  3. Check the recognition statement, if any, is tied to the same name and award.
  4. Compare the bank statement with the funds rules and the CAS amount.
  5. Record each mismatch as a question to the applicant, with the date asked and the answer received.
  6. Issue the offer or CAS only when the open questions are closed.

CheckFile compares fields across documents (names, dates, amounts, account holders) and flags the differences for a human reviewer; it does not certify that a document is genuine. FAQ

What documents does an international student need for admission?

A passport, transcripts, the diploma or degree certificate, language evidence and proof of funds are the usual set. The exact list depends on the institution and the visa route, so check the current institution and GOV.UK requirements.

Does a UK ENIC statement prove a diploma is genuine?

No. It compares the level of a foreign qualification with the UK system. Authenticity is checked with the issuing institution or an official register.

How long must student funds be held for a UK student visa?

GOV.UK says at least 28 days in a row, ending within 31 days of the application. The amount depends on the course fee on the CAS and the monthly maintenance figure.

What if the name differs between passport and diploma?

Ask for a name-change certificate or a transliteration letter and note which spelling appears on the CAS. A difference in order or hyphenation is a format issue; a different surname needs a document.
