International Student Admission Documents: Cross-Checking Transcripts, Diplomas and Funds
Which fields to compare across an international applicant's passport, transcripts, award, Confirmation of Enrolment and financial capacity evidence for an Australian provider, and what to do on a mismatch.

Summarize this article with
An Australian education provider reviews an international admission file by comparing the same facts across four sets of documents: identity (passport), academic record (transcripts and award), the provider's offer and Confirmation of Enrolment (CoE), and evidence of financial capacity. A name spelled two ways, a transcript that ends before the award date, or a bank statement in a third party's name does not prove wrongdoing. It tells the admissions officer which question to ask before the offer is confirmed.

The admission file: eight comparisons that matter
A typical file holds a passport, transcripts, an award certificate, English test results, a bank statement or loan evidence, and sometimes a sponsor letter. The table gives the field on each side, what a mismatch looks like, and the reviewer's next step.
| Field on document A | Compared with | Mismatch looks like | Reviewer's next step |
|---|---|---|---|
| Full name, passport | Award and transcript | Different transliteration, missing given name, married name | Request a name-change or transliteration letter; record the passport spelling on the CoE |
| Date of birth, passport | Application and award | Day and month swapped, one year apart | Correct to the passport only after written confirmation |
| Institution and award title | Transcript header | Different institution name, award absent from transcript | Request the transcript directly from the institution |
| Award date | Last term on transcript | Award dated before the final exams | Request a completion letter |
| Credits and grading scale | Result claimed on the application | Claimed result above transcript | Use the provider's own conversion rules, not the applicant's |
| Qualification assessment, if supplied | Award and passport | Assessment covers another award or name | Treat as unlinked to this applicant until reissued |
| Account holder, bank statement | Applicant or named sponsor | Third-party holder, no stated relationship | Request a sponsor letter and the sponsor's ID |
| Balance and dates | Funds the file must show | Balance falls below required total during the period | Request a longer statement or another source |
The first column is where a clerical slip and a deliberate change look alike, so the next step is always a question, not a decision.
Identity: the passport is the reference
The passport is the reference for legal name and date of birth, and every other document is compared with it. Three fields are compared first: family name and given names, date of birth, and passport expiry against the course end date.
Names cause most friction. An award issued in another script carries the registrar's transliteration, not the passport office's. Our guide to cross-document consistency checks lists normalisation rules for hyphens, name order and diacritics that separate a format difference from a real mismatch.
The Confirmation of Enrolment: built from the checked file
For a student visa, the Department of Home Affairs sets out the requirements on its Student visa (subclass 500) page, and the provider's CoE is part of the application (Home Affairs, Student visa subclass 500). We could not load the page for this article, so read the current version for the exact evidence list, including how the genuine student requirement is applied.
The provider issues the CoE, so it should be built from the checked file and not the other way round. Before issuing it, compare name, date of birth and passport number on the CoE against the passport, course title and dates against the offer, and fees against the published fee schedule. A passport renewed between offer and CoE is recorded when the applicant provides the new number.

Request a free pilotTranscripts and award: do they describe the same qualification?
A transcript and an award certificate come from the same institution, so institution name, course, award date and student name have to agree. The transcript lists units, credits and grades; the award records the qualification. Only the pair shows the course was completed.
Compare institution name (including renamed or merged institutions), course title, start and end dates, total credits against credits required, and the final result. Typical mismatches: a transcript that stops a term before the award date, credits that do not add up, a grading scale that differs between the two documents. A mismatch is not a verdict; transcripts are reissued and translations add errors. The reviewer asks for the original-language document and checks the institution using the sources in our article on degree verification and official registers by country. For forged enrolment and diploma documents, see student identity verification and diploma fraud.
A qualification assessment states equivalency. It is not a check that the underlying certificate is genuine, so the two questions stay separate.
Financial capacity: account holder, balance and dates
Evidence of financial capacity for the student visa is specified in a legislative instrument, and the figures changed with effect from May 2024, so the amounts are read from the current instrument on the Federal Register of Legislation, not from a guide (Federal Register of Legislation). The amounts are not repeated here for that reason.
The comparisons are mechanical:
- Account holder against the applicant, or against a named sponsor with a stated relationship.
- Opening, lowest and closing balance against the required total.
- First and last statement date against the application date.
- Currency and conversion date, where the account is not in Australian dollars.
- Running balance against the listed transactions, so a typed total that does not follow the lines is flagged.
Because the visa process also asks whether funds are genuinely available to the applicant, a large deposit shortly before the statement date is a question about source, not a rejection. A parent's account is common and acceptable if the sponsor documents agree.
What applicants ask
Forum questions repeat: do transcripts need translating, does the account have to be in my name, is a screenshot enough? Certified translations accompany the original document, the holder is the applicant or a documented sponsor, and a screenshot cannot show history. Providers hold this data under the Privacy Act 1988 and the Australian Privacy Principles; the OAIC publishes guidance. See also how CheckFile handles data.
A review workflow
- Read the passport and fix legal name and date of birth.
- Compare transcripts and award against each other and against the passport.
- Confirm any qualification assessment names the same person and award.
- Compare the bank statement with the required total and dates.
- Log each mismatch as a question to the applicant, with date and answer.
- Issue the CoE only when open questions are closed.
CheckFile compares fields across documents (names, dates, amounts, account holders) and flags differences for a human reviewer; it does not certify that a document is genuine. See the pricing page, or return to the industry verification guide.
FAQ
What documents does an international student need for admission in Australia?
A passport, transcripts, award certificate, English results and evidence of financial capacity are the usual set. The visa then adds the CoE and other items on the Home Affairs page.
Does a qualification assessment prove my award is genuine?
No. It states equivalency. Authenticity is confirmed with the issuing institution or an official source.
Can a parent's bank account be used for financial capacity?
Often yes, if the relationship is documented and the sponsor documents agree. A third-party holder with no explanation needs a question.
What if my name differs between my passport and award?
Provide a name-change certificate or a transliteration letter. A different order is a format issue; a different surname needs a document.
