Supplier certificate expiry tracking means recording the end date of every compliance document a supplier gave you and re-checking each against its source on a schedule, not only at onboarding. An ABN and a certificate of currency that were fine when the supplier was set up say nothing about the day you pay the invoice, so the document date, the contract term and the register must be compared again.

ABN Lookup shows the entity name, business structure, ABN status (active or cancelled), GST registration status and main business location (ABN Lookup, Australian Business Register). Practitioner guides add two points worth building into your process: a cancelled ABN is a reason to stop and ask, and GST registration has an effective date, so a supplier that was not registered on the supply date cannot give you claimable GST on that invoice even if it is registered today.

Australia has no single national supplier certificate. Identity sits with the ABR and ASIC, tax with the ATO, cover with insurers, and licences with state regulators. This guide belongs to the wider industry verification guide.

What should be re-checked, and when?

Re-check at onboarding, at the expiry date on the document, and before significant payments or contract renewals.

Document Field to read Compare against Re-check trigger
ABN and GST details ABN, entity name, ABN status, GST status and effective date ABN Lookup; invoice date and contract Onboarding; before payments; when invoice details change
Company record ACN, company name, status, officeholders, registered office ASIC registers; contract; signatory Onboarding; yearly; on change of directors
Certificate of currency Insurer, policy number, period of insurance, limits, insured Contract insurance clause; supplier legal name Day after the period ends
Trade or state licence Licence number, holder, class, expiry Issuing state regulator Before expiry
Bank details Account name, BSB, account number Entity name on ABN Lookup; invoice Every change
Certification (ISO, safety prequalification) Certified entity, site, scope, expiry Site that actually delivers Before expiry

How do you cross-check an ABN against an invoice?

Compare the ABN on the invoice with the ABN on the contract, then look it up. The ABN is the join key, but the name returned for it must also match the name on your purchase order.

Typical mismatches and the next step:

  • ABN cancelled or entity name different from the contract. Stop new orders and ask the supplier to explain, with evidence of the new ABN or name.
  • GST registered today but not at the supply date. The GST on that invoice is not claimable; hold payment and query the invoice with the supplier.
  • No ABN quoted. Practitioner guides say withholding at the top tax rate (currently 47 percent) can apply where no exception exists. Confirm the rule with the ATO or your tax adviser before paying.
  • Invoice name differs from the lookup name (trading name, trust). Ask which legal entity is supplying.

A lookup confirms what the register holds; it does not prove the invoice or PDF is genuine, nor that the person emailing you represents the entity. See also our guide to vendor compliance certificate verification.

How do you cross-check the ASIC company record?

Compare the ACN first, then the company name, status and officeholders. Entity type from ABN Lookup tells you whether you are dealing with a company, but it is not an ASIC search, so check ASIC directly for status.

  1. Name and ACN vs. contract and invoices.
  2. Officeholders vs. contract signatory.
  3. Registered office vs. billing address; a persistent gap across invoices is resolved before payment.

How do you track certificate of currency expiry?

Read the period of insurance, issue date, insured and limits. A certificate of currency issued last week can show a period that ended last month. Compare the insured with the contracting entity (a policy for a parent does not automatically cover the subsidiary that signs), the period with the contract term, the limits with your contract clause (the number on the certificate, not the broker's email), and the policy number across renewals. Set the reminder for the day after the period ends: a 30-day reminder triggers the request, the day-1 check shows whether it worked.

How often should each document be re-checked?

Risk tier Example ABN / ASIC status Insurance Licences
High On-site labour, hazardous work, single source Every 6 months At expiry, plus day 1 60 days before expiry
Medium Recurring services Yearly At expiry At expiry
Low Occasional low-value goods Onboarding and on alert At expiry Onboarding

This is an internal policy, not a legal rule; where a regulator or contract sets an interval, that interval prevails.

What should the review log record?

Record what was compared, not only that a check happened. A useful entry has five parts: the document reviewed and its end date, the source consulted (for example ABN Lookup or ASIC), the date of the lookup, the result (matches, differs, not found) and the reviewer's name. When something differs, add the follow-up: written request with a deadline, payment hold, or escalation to legal.

Keep proof of the lookup with the ABN and the date visible. A screenshot with neither is not evidence; a saved result with both is. Because GST registration has an effective date, store the invoice date next to the lookup date so you can show which status applied when. Set one internal retention period for all supplier documents so a later audit can rebuild the chain from document to lookup to payment.

Once a year, sample the log to confirm that reminders actually produced requests. A list of expiry dates nobody works is only an archive.

What do buyers actually ask on forums?

"The ABN is active, is that enough?" No. Check GST status and its effective date against the invoice date, and the entity name against your contract.

"The certificate of currency shows a date next month. Should I wait?" Diarise the day after the date, and request the renewal before it lapses.

"We have 400 suppliers. How do we avoid a spreadsheet nobody opens?" One row per document, expiry in a machine-readable field, an owner per row, automatic reminders.

What changes when you automate the comparison?

Automation removes the retyping, not the decision. CheckFile reads the fields on a document (names, ABNs, dates), compares them across the file and against the register values you configure, and flags mismatches and upcoming expirations. A field comparison shows consistency, not authenticity, and a check is a point in time. See the security page and pricing.

FAQ

How far ahead of expiry should I request a new certificate?

30 to 45 days ahead. Run the actual check on the expiry date or the day after.

Is ABN Lookup enough to show a supplier is compliant?

No. It confirms the ABN, entity name and GST status. Insurance, licensing and company status come from separate sources.

What if a certificate of currency lapses mid-project?

Pause new orders or milestone payments, request the renewal in writing with a deadline, log the gap, and escalate before paying.

Can I rely on the supplier's own PDF?

As a starting point. Check the register where one exists and compare identifiers with the other documents on file.
