International Student Admission Documents: Cross-Checking Transcripts, Diplomas and Funds
Which fields to compare across an international applicant's passport, transcripts, degree, letter of acceptance, PAL or CAQ and proof of funds for a Canadian study permit, and what to do on a mismatch.

Summarize this article with
A Canadian institution reviews an international admission file by comparing the same facts across four sets of documents: identity (passport), academic record (transcripts and degree certificate), the school's own letter of acceptance, and proof of funds. A name spelled two ways, a transcript that ends before the degree date, or a bank statement in a third party's name does not prove wrongdoing. It tells the admissions officer which question to ask before the letter of acceptance goes out.

The admission file: eight comparisons that matter
A typical file holds a passport, transcripts, a degree certificate, an English or French language result, a bank statement and sometimes a sponsor letter. The table gives the field on each side, what a mismatch looks like, and the reviewer's next step.
| Field on document A | Compared with | Mismatch looks like | Reviewer's next step |
|---|---|---|---|
| Full name, passport | Degree and transcript | Different transliteration, missing middle name, married name | Request a name-change or transliteration letter; record the passport spelling on the letter of acceptance |
| Date of birth, passport | Application and degree | Day and month swapped, one year apart | Correct to the passport only after written confirmation |
| Institution and degree title | Transcript header | Different institution name, degree title absent | Request the transcript directly from the institution |
| Award date, degree | Last term on transcript | Degree dated before the final exams | Request a completion letter |
| Credits and grading scale | Average claimed on the application | Claimed average above the transcript | Use the institution's own conversion table, not the applicant's |
| Credential assessment, if the program requires one | Degree and passport | Assessment covers another degree or name | Treat it as unlinked to this applicant until reissued |
| Account holder, bank statement | Applicant or named sponsor | Third-party holder, no stated relationship | Request a sponsor letter and the sponsor's ID |
| Balance and dates | Tuition and living costs the file must show | Balance falls below the required total during the period | Request a longer statement or another source |
The first column is where a clerical slip and a deliberate change look alike, so the next step is always a question, not a decision.
Identity: the passport is the reference
The passport is the reference for legal name and date of birth, and every other document is compared with it. IRCC lists a copy of a valid passport or travel document and two recent passport-size photos as always required for a study permit (IRCC, documents for a study permit).
Three fields are compared first: surname and given names, date of birth, and passport expiry against the program end date. Names cause most friction. A degree in another script carries the registrar's transliteration, not the passport office's. Our guide to cross-document consistency checks lists normalization rules for hyphens, name order and diacritics.
The letter of acceptance and the provincial documents
IRCC states that a letter of acceptance, proof of identity and proof of funds are always required for a study permit, and that a provincial attestation letter (PAL) or territorial attestation letter is needed in most cases; students in Quebec need a Quebec Acceptance Certificate (CAQ) instead (IRCC). The school issues the letter of acceptance, and the PAL is usually obtained from the school after the offer is accepted and tuition is paid in part or in full.
So the school's own letter has to be right the first time. Compare name, date of birth and passport number on the letter against the passport, program title and dates against the offer, and the tuition amounts against the published fee schedule. Where a PAL or a CAQ is also part of the file, its name and date of birth must match the letter and the passport, character for character, because a mismatch between these documents is the kind an applicant discovers only when the application is assessed.

A transcript and a degree certificate come from the same institution, so institution name, program, award date and student name have to agree. The transcript lists courses, credits and grades; the degree records the award. Only the pair shows the program was completed.
Compare institution name (including renamed or merged institutions), program title, start and end dates, total credits against credits required, and the final result. Typical mismatches: a transcript that stops a term before the degree date, credits that do not add up, a grading scale that differs between the two documents. A mismatch is not a verdict; transcripts are reissued and translations add errors. The reviewer asks for the original-language document and checks the institution using the sources in our article on degree verification and official registers by country. For forged enrollment and diploma documents, see student identity verification and diploma fraud.
A credential assessment, where a program asks for one, states equivalency. It is not a check that the underlying certificate is genuine, so the two questions stay separate.
Proof of funds: account holder, balance and dates
Funds are compared with the amount IRCC currently requires, which changes, so the figure is read from the live IRCC proof of financial support page rather than from this article. IRCC lists proof of funds as always required and links to a separate page on financial support (IRCC).
The comparisons are mechanical:
- Account holder against the applicant, or against a named sponsor with a stated relationship.
- Opening, lowest and closing balance against the required total.
- First and last statement date against the application date.
- Currency and conversion date, where the account is not in Canadian dollars.
- Running balance against the listed transactions, so a typed total that does not follow the lines is flagged.
A large deposit shortly before the statement date is a question about source. A parent's account is common and acceptable if the sponsor documents agree.
What applicants ask
Forum questions repeat: do transcripts need translating, does the account have to be in my name, is a screenshot enough? Certified translations accompany the original document, the holder is the applicant or a documented sponsor, and a screenshot cannot show history. An institution handling these files holds sensitive personal data; the Office of the Privacy Commissioner publishes guidance on PIPEDA, and provincial rules may apply. A review workflow
- Read the passport and fix legal name and date of birth.
- Compare transcripts and degree against each other and against the passport.
- Confirm any credential assessment names the same person and award.
- Compare the bank statement with the required total and dates.
- Log each mismatch as a question to the applicant, with date and answer.
- Issue the letter of acceptance only when open questions are closed.
CheckFile compares fields across documents (names, dates, amounts, account holders) and flags differences for a human reviewer; it does not certify that a document is genuine. See the pricing page, or return to the industry verification guide.
FAQ
What documents does an international student need for a Canadian study permit?
IRCC lists a letter of acceptance, proof of identity and proof of funds as always required, and a PAL or TAL in most cases. Quebec requires a CAQ.
Does a credential assessment prove my degree is genuine?
No. It states equivalency. Authenticity is confirmed with the issuing institution or an official source.
Can a parent's bank account be used as proof of funds?
Often yes, if the relationship is documented and the sponsor documents agree. A third-party holder with no explanation needs a question.
What if my name differs between my passport and degree?
Provide a name-change certificate or a transliteration letter. A different order is a format issue; a different surname needs a document.
